Job Abandonment Letter Format

Indicate circumstances of absence with dates of no call and no show. State any contact from employee since last present at work (if any contact). Explain that absences have led you to conclude that the employee has voluntarily resigned due to job abandonment and state the effective date.

For example:

"Your last day worked was [date]. Your failure to report to work as scheduled and failure to contact me since [date] regarding your absence leads me to conclude that you have voluntarily resigned from your University position due to job abandonment effective [today's date]. Because you had not been excused for any additional absences and you had not discussed authorization for these absences with me, your absences since [date] are unexcused and reported as unpaid."


State that separation paperwork has been submitted as result of the employee's voluntary resignation due to job abandonment and indicate the arrangements you have made for delivering their final paycheck.

For example:

"I have submitted separation paperwork indicating that you have voluntarily resigned due to job abandonment."


If the employee has any University property in their possession, state that it must be returned. Also, instruct the employee to contact you to establish a meeting time to have the University property returned and to allow the employee to pick up their personal property.

For example:

"Any University property in your possession must be returned to me. Contact me at [phone number] to schedule a mutually convenient meeting time for the return of University property. At this meeting, you may also pick up any personal property that you may have left here. I expect to hear from you by [date]."
