Initial Probation Termination Memo Format
For Regular Classified Staff (who is serving an initial six month probation period)

Supervisors: Use this format to generate a draft initial probation termination memo in accordance with Classified Staff Policy #112.0. Although written notification is not required, this format may be used to confirm the termination of a Regular Classified Staff employee who is still on an initial six month probation period - (This format is not for a three-month transfer/promotion probationary employee.)

Keep in mind that an employee on initial probation at the time of termination:

  • is not eligible to be paid for accumulated vacation
  • must repay all sick time (and any vacation time during holiday closure) used during probation
  • must be paid all wages due within three working days following the termination date or on the payday following the end of the regular pay period, whichever is sooner.

Human Resources Consulting Services or HR@AHSC is available to consult about termination of an initial probation employee or to clarify the probationary period of your employee.

Termination effective date:
(Take care when calculating the end of probation because the termination must be effective on or before the last day of six-month initial probation). Example: If hire date is May 10th, the termination must be effective on or before November 9th.

(For Example: You must return all University property, equipment and materials issued to you during the course of your employment. This includes, but is not limited to, keys and room cards. These items must be returned to me on or before your last day of employment.) »
