Vacation Time
Qualifying Reasons and Eligibility
When an absence is not covered by Family and Medical Leave or Sick Time, a supervisor can decide whether approval of vacation time is appropriate and can be supported (see Business Considerations for Vacation Time). Factors to consider for employee eligibility are as follows:

- Departmental request process is followed
- Supervisor decides to approve vacation time

- Current benefits-eligible employee, except faculty on academic appointment and classified staff on initial probation
- Has an available balance of vacation time to cover requested absence

When the employee does not qualify for vacation time, other absence options can be explored at the supervisor’s discretion – see main flow chart.
Additional Information:
- Vacation time off is not a right and must be requested and approved in advance
- Classified Staff serving initial probation are not eligible to be paid for accrued vacation time
- Faculty on academic appointment are not eligible for vacation/annual leave
- Each employee is responsible for managing the vacation balance and for requesting use of vacation time throughout the year
- When an employee does not follow the request procedures, a supervisor may consider the absence to be unexcused and subject to discipline. In the case of a nonexempt employee, any unexcused absence must be unpaid.
